Guymon Inspection Services, Inc.("Company", "we", "us", or "our") respects your right to control your personal data. This Data Deletion Policy describes how you can request the deletion of your personal information from the Contractor Vault application (the "Service") and how we handle such requests.

2. What Data We Store

When you interact with our Service, we may store the following data:

  • Profile Information: Name, email address, phone number, mailing address, and other contact details.
  • Professional Information: Work experience, certifications, education, skills, references, and employment-related data.
  • Account Credentials: Username and securely hashed password.
  • Documents: Resumes, certifications, contracts, and other uploaded files.
  • Communications: Email logs, WhatsApp messages, and other correspondence records.
  • Usage Data: Login timestamps, audit logs, and activity records.

3. How to Request Data Deletion

You may request deletion of your personal data at any time by contacting us using one of the following methods:

  • Email: Send a request to hr@guymoninspection.com with the subject line "Data Deletion Request".
  • In Writing: Mail your request to Guymon Inspection Services, Inc. at our registered business address.

Please include your full name and the email address associated with your account so we can verify your identity and locate your records.

4. What Happens When You Request Deletion

Upon receiving a verified deletion request, we will:

  • Delete your user account and login credentials.
  • Delete your contractor profile, including resume data, certifications, documents, and uploaded files.
  • Delete associated records including reviews, references, billing information, questionnaire responses, and communication logs.
  • Remove your data from any active contracts or agreements (completed contracts may be retained for legal compliance).

Data deletion is typically completed within 30 days of receiving a verified request.

5. Data We May Retain

Certain data may be retained after a deletion request in the following circumstances:

  • Legal Obligations: Records required for tax, employment law, workers' compensation, or regulatory compliance.
  • Executed Contracts: Signed agreements may be retained for the duration required by applicable law.
  • Audit Logs: System audit entries may be retained in anonymized form for security purposes.
  • Dispute Resolution: Data relevant to pending or anticipated legal proceedings.

6. Third-Party Data

If your data has been shared with third-party services (such as cloud hosting, email delivery, or AI processing providers), we will take reasonable steps to request deletion from those services as well. However, we cannot guarantee deletion from systems outside our direct control.

7. WhatsApp and Meta Data

When you request account deletion, we delete all WhatsApp messages stored in our system associated with your profile. Please note that Meta (WhatsApp) maintains its own data retention policies — messages delivered through WhatsApp may be retained by Meta in accordance with their privacy policy. You may additionally submit a data deletion request directly to Meta through your Facebook or WhatsApp account settings.

8. Confirmation

Once your data has been deleted, we will send a confirmation to the email address on file (if still available) or via the method you used to submit the request.
